Terms and Conditions
These terms and conditions govern your visit to and use of Explorazone. Please read them carefully. By booking, purchasing a ticket or gift voucher, entering the venue, or using any of our services, you accept these terms on your own behalf and on behalf of every adult and child in your party. If you do not agree with these terms, please do not book or enter the venue.
1. About these terms and about us
- Explorazone is a children’s interactive science and entertainment venue, featuring hands-on exhibits, virtual reality (VR) experiences, birthday parties, school and group activities, and the on-site Cafe UFO serving food and drink. The venue is located at Unit 5-6 Francis Way, Bowthorpe Park, Norwich NR5 9JA.
- Explorazone is a trading name of Coreaxis2 Ltd, a company registered in England and Wales (company number 16929722), whose registered office is 73 Angel Road, Norwich, England, NR3 3HR. Our website is explorazone.co.uk.
- In these terms, “we”, “us” and “our” mean Coreaxis2 Ltd trading as Explorazone. “You” means the person making a booking or purchase, and, where the context allows, every adult and child in your party. “Accompanying adult” means the parent, guardian, or responsible adult aged 18 or over who brings and supervises a child at the venue.
- These terms apply alongside any additional rules displayed at the venue, printed on tickets or vouchers, or given to you at the time of booking. Where there is a conflict, the venue safety rules and staff instructions take priority for safety reasons.
- You must be aged 18 or over to make a booking, buy a gift voucher, or enter into a contract with us.
2. Bookings and payment
- Admission tickets, VR sessions and VR coins, party packages, group and school bookings, and gift vouchers may be purchased online through explorazone.co.uk or at the venue, subject to availability. We recommend booking admission in advance, as entry at the door cannot be guaranteed during busy periods.
- Prices are shown in pounds sterling and include VAT at the applicable rate, currently 20 per cent. We may change our prices from time to time, but a price change will not affect a booking that has already been confirmed and paid for.
- A booking is confirmed only once payment (or the required deposit) has been received and we have issued a written confirmation, normally by email. It is your responsibility to check your confirmation and to tell us promptly of any error.
- You must be able to show a valid ticket, booking reference, or confirmation on arrival, on a phone screen or on paper. Entry may be refused where a valid booking or ticket cannot be shown.
- We accept payment by the methods shown at the point of sale. We do not store your full card details. If a payment is declined or later reversed, we may treat the booking as cancelled.
- Promotional codes, discounts, and offers are subject to their own terms, cannot be combined unless stated, have no cash value, and may be withdrawn at any time.
3. Admission, timed sessions and entry
- Admission operates on a timed-session basis. Your ticket admits the named number of children and accompanying adults for the session date and time booked. Sessions may have a set length, which will be shown at the time of booking and displayed at the venue.
- Please arrive in good time. Late arrival may shorten your session, as we cannot guarantee to extend it into a following session or to hold your place. Sessions run to a schedule to keep the venue safe and comfortable and to manage capacity.
- Admission is subject to available capacity. During busy periods we may operate timed entry, limit session lengths, or pause new entries to keep numbers safe. We may also close individual exhibits or areas for maintenance, cleaning, or safety without notice; where a core part of the experience is unavailable for a significant part of your session, please speak to a member of staff.
- Re-entry during the same session may be permitted at our discretion; please speak to a member of staff before leaving and keep your ticket or wristband. Once a session has ended, re-entry requires a new booking.
- For hygiene and safety, socks may be required in certain play or VR areas. Please wear or bring suitable clothing and grip socks where signed. Children and adults should wear clothing and footwear appropriate to active, hands-on play; loose items, scarves, and jewellery may need to be removed for certain activities.
- Lost, damaged, or stolen tickets or wristbands cannot always be replaced. Please tell a member of staff as soon as possible and we will help where we reasonably can, but we may ask you to show proof of purchase.
- Some attractions, including certain VR experiences, carry minimum age, height, or health requirements for safety reasons (see clause 4). You must observe these restrictions and follow the instructions of our staff and posted safety signs at all times.
- We may refuse admission to, or remove from the venue, any person whose behaviour is unsafe, abusive, or disruptive, who does not comply with these terms, or who is reasonably suspected of being under the influence of alcohol or drugs. No refund is due in these circumstances.
4. VR experiences and VR coins
- VR experiences are operated using VR coins or the equivalent session credit purchased at the venue or online. The number of coins required for each experience is shown at the point of use.
- VR coins are non-refundable and non-transferable once purchased, except where required by law or where we are unable to provide the experience. Any expiry date applying to VR coins will be made clear at the time of purchase, and it is your responsibility to use them before they expire. Unused coins have no cash value.
- VR experiences have age guidance that varies by experience, and there is no height requirement. As a general guide, the Egg experience is suitable from around 2 to 3 years at the accompanying adult’s discretion, the Car experience is suitable for children aged 3 and over, and the Bike experience is suitable for children aged 5 and over. Health requirements also apply (see below). The suitability of each experience is displayed at the point of use, and our staff may decline participation on safety grounds; their decision is final.
- VR is not suitable for everyone. Do not take part if you or your child are pregnant, have a heart condition, are prone to seizures, have an ear, eye, or balance disorder, are unwell, or are affected by alcohol or drugs. VR can cause motion sickness, dizziness, nausea, disorientation, or eye strain in some people. If a participant feels unwell, dizzy, or uncomfortable, they must stop immediately and tell a member of staff.
- Photosensitive epilepsy warning. A very small proportion of people may experience seizures or blackouts when exposed to flashing lights or patterns, including in VR and on screens. If you or your child have a history of seizures, epilepsy, or photosensitivity, do not take part without medical advice, and tell a member of staff.
- You must disclose any relevant health condition before taking part, ensure your child meets the requirements, and follow all safety guidance and staff instructions. VR is used under staff supervision, but the accompanying adult remains responsible for their child at all times (see clause 6).
- For hygiene, headsets and controllers are cleaned between uses. Please tell staff if you would like additional cleaning or a hygiene liner where available. Do not use VR equipment if you have an eye infection or open wound on the face.
- Please handle VR headsets, controllers, and cables with care and only as directed. Deliberate misuse or damage is covered by clause 6.
5. Cafe UFO food, drink and allergens
- Food and drink are provided by our on-site Cafe UFO. Menus and prices are displayed at the cafe and are subject to availability and change.
- We take allergens seriously and comply with our legal duties, including allergen information rules and the requirements of “Natasha’s Law” for pre-packed-for-direct-sale food. Allergen information for our menu items is available at the venue and on request from a member of staff.
- If you or a member of your party has a food allergy or intolerance, you must check the current allergen information and speak to a member of staff before ordering or consuming any item. Our kitchen handles allergens and we cannot guarantee that any item is entirely free from traces of a given allergen.
- We do not accept responsibility for an allergic reaction where the customer has not checked the current allergen information and told our staff of the allergy before ordering.
- Outside food and drink may be restricted at the venue; please ask staff before bringing food in. Reasonable exceptions are made for medical or dietary needs, allergy management, baby food, and infant feeding. Externally supplied food for parties is covered by clause 8.
- Alcohol, where offered, is served only to persons aged 18 or over. We operate a Challenge 25 policy and may ask for photographic identification.
6. Supervision and responsibility for children
- Every child visiting Explorazone must be accompanied and actively supervised by an accompanying adult aged 18 or over throughout their visit. Our staff do not provide childcare, personal care, or one-to-one supervision, and supervision of your child remains your responsibility at all times.
- Children under 14 must be accompanied and actively supervised by a responsible adult throughout their visit. Younger children and children needing additional support require closer supervision. For parties, groups, and school visits, the supervision required is confirmed at the time of booking.
- The accompanying adult is responsible for the behaviour and safety of the children in their care, for ensuring they follow staff instructions, safety signs, and any age, height, or health restrictions, and for keeping them within the areas open to visitors.
- The accompanying adult is liable to pay, in full, for any damage, breakage, or loss to the venue, its equipment, VR headsets, exhibits, furnishings, fixtures, fittings, or other property caused deliberately, carelessly, or through misuse by a child in their care while at the venue. We will charge the reasonable cost of repair or replacement. This charge does not affect your statutory rights and does not apply to normal fair wear and tear or to a fault in the equipment.
- Children must not be left unattended at the venue at any time, including in the cafe, toilets, or car park. The accompanying adult must accompany young children to the toilet.
- Lost-child procedure. If you cannot find a child, tell the nearest member of staff immediately. We will secure the exits where safe to do so, ask for a description, and search the venue. If a child is found unaccompanied and cannot be reunited with their adult, or if a child cannot be safely supervised or collected, we will follow our safeguarding procedures, which can include contacting the police or other relevant authorities.
- We are committed to safeguarding. Our staff may intervene where a child’s safety or welfare appears to be at risk. Nothing in these terms transfers responsibility for a child’s care from the accompanying adult to us.
7. Cancellations, changes and refunds
- Right to cancel online purchases. Where you buy from us online or at a distance, you may have a statutory right to cancel within 14 days under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. However, that right does not apply to the supply of leisure services for a specific date or period, such as timed admission, dated VR sessions, and party bookings. By booking a dated service you acknowledge this and, where you ask us to begin providing a service within the cancellation period, you agree it may not be cancellable once that date or period has begun.
- Individual admission and VR bookings. Individual admission bookings cancelled with at least 48 hours’ notice before the session may, at our discretion, be moved to another available date or issued as credit. Cancellations with less than 48 hours’ notice, and no-shows, are non-refundable.
- Group and school bookings. Group and school bookings require at least 7 days’ notice to cancel or to reduce numbers, failing which the full booking (or the number last confirmed) may be charged.
- Parties. Party cancellations, rescheduling, and deposits are covered by clause 8.
- The 48-hour and 7-day windows above are our current standard windows and may be confirmed or updated at the time of booking; the windows shown in your booking confirmation apply.
- If we cancel or materially change your booking (for example due to closure, staff shortage, equipment failure, or circumstances beyond our reasonable control), we will offer you a suitable alternative date or a refund of the amounts you paid for the affected service. Except where we are at fault or the law requires, we are not responsible for incidental costs such as travel or accommodation.
- Weather and closures. As an indoor venue we normally operate in all weathers. If we have to close for reasons such as severe weather, utility failure, or safety, we will offer a rescheduled date or a refund for the affected booking. We are not obliged to refund where the venue is open and you choose not to attend.
- Nothing in these terms removes your rights under the Consumer Rights Act 2015 to services carried out with reasonable care and skill and within a reasonable time, or to a repeat performance, price reduction, or other remedy where they are not.
8. Birthday parties, group and school bookings
- Deposit. A deposit (amount confirmed at booking) is required to secure a party. The booking is confirmed when the deposit is paid and written confirmation is sent. The deposit is fully refundable if you cancel within 7 calendar days of paying it, and is otherwise non-refundable. The balance is due by the date shown in your booking confirmation.
- Final numbers. Final guest numbers, package choices, and any dietary or allergy information must be confirmed at least 7 days before the event. Charges are based on the numbers confirmed at that point; we cannot refund for guests who do not attend, and additional guests on the day are subject to availability and payment.
- Rescheduling. One reschedule may be permitted at our discretion with at least 7 days’ notice, subject to availability. Rescheduling with less than 7 days’ notice may be treated as a cancellation.
- Timings and exclusivity. Party packages run for the time stated in your package. Unless your package expressly states exclusive or private hire, other visitors may be present in the venue. Please arrive and vacate the party area promptly so we can prepare for the next booking.
- Food and allergens. Party food, where included, is provided by Cafe UFO and clause 5 applies. You must tell us of all allergies and dietary needs in advance. Where we permit you to bring your own celebration cake or specific external food, it is supplied at your own risk and you are responsible for its safety, labelling, and allergen information; external hot food and outside caterers are not permitted unless agreed in writing.
- Decorations. You may bring simple decorations by prior agreement. Please do not use anything that could damage surfaces, such as tape, tack, pins, glitter, confetti, silly string, or open flames. Any decorations must be removed at the end of your session unless staff agree otherwise.
- Supervision and damage. The booking parent or organiser is responsible for the conduct and supervision of all children and guests in the party, and clause 6 (including the supervision requirement and liability for damage) applies to the whole party. Any damage caused during a party or group visit will be charged at the reasonable cost of repair or replacement.
- Schools and groups. Schools, nurseries, and organised groups must provide adequate adult supervision as confirmed at booking, carry out their own risk assessment where required, and ensure their adults supervise their children at all times. A risk assessment and public liability details can be provided on request.
9. Gift vouchers, including Solo Explorer
- Gift vouchers, including the Solo Explorer voucher, may be bought online or at the venue and redeemed against admission, experiences, or other services as stated on the voucher, subject to availability.
- Vouchers, including the Solo Explorer voucher, have their expiry date printed on the voucher or confirmed at the time of sale. Different vouchers may have different expiry dates and conditions, and it is your responsibility to check the voucher and use it before it expires. Unless required by law, vouchers cannot be exchanged for cash and any unused balance after expiry is not refundable.
- Each voucher is for single use unless it clearly states that a remaining balance can be carried over. A voucher can be redeemed only once; once redeemed or used to make a booking it cannot be reused.
- Vouchers are non-transferable for cash. We are not responsible for vouchers that are lost, stolen, damaged, or used without your permission, and we cannot replace them. Please treat a voucher like cash.
- Where a voucher is used to book a dated service, the cancellation and refund terms in clause 7 apply. A refund, where due, is normally given as voucher credit to the original value.
10. Health, safety and conduct
- For everyone’s safety, you and your party must follow all safety signs, barriers, height and age limits, and the instructions of our staff, and use equipment and exhibits only as intended.
- Please tell a member of staff about any accident, injury, spillage, or hazard as soon as possible so we can deal with it and record it.
- Please tell us in advance of any medical condition, disability, or additional need that may affect a visitor’s safe use of the venue or particular attractions, so that we can help where we reasonably can.
- Smoking, vaping, and the use of e-cigarettes are not permitted anywhere inside the venue or immediately outside its entrances.
- The venue may be busy and noisy and includes lights, sound, and screen-based activities. If any visitor is sensitive to these, please speak to staff about quieter times or adjustments.
- We may refuse entry to, or remove without refund, any person who behaves in an unsafe, abusive, threatening, or disruptive way, who harasses other visitors, children, or staff, or who is under the influence of alcohol or drugs.
11. Accessibility
- We aim to make Explorazone accessible and welcoming to all visitors. If you have accessibility requirements, please contact us before your visit so we can advise on facilities and make reasonable adjustments where possible.
- Assistance dogs are welcome. Other animals are not permitted, except where required by law.
- Certain attractions, including some VR experiences, have safety requirements that we cannot waive. We will always try to offer an alternative where an activity is not suitable for a particular visitor.
12. Personal belongings and liability
- Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
- Subject to clause 12.1, we are not liable for loss, injury, or damage arising from a failure to follow staff instructions, safety signs, or age, height, and health requirements, from misuse of equipment or exhibits, or from inaccurate or withheld health or allergy information.
- You are responsible for your personal belongings. We are not responsible for personal property that is lost, stolen, or damaged at the venue, including items left in any lockers, cloakroom, or the car park. Please keep your possessions with you. Lost property found at the venue will be kept for a reasonable period and then disposed of or donated.
- Subject to clause 12.1, our total liability to you in connection with a booking is limited to the amount you paid us for that booking. We are not liable for losses that were not foreseeable, or for business losses, as we supply our services for private, non-commercial use.
13. Photography, media and safeguarding
- We may take photographs or video at the venue and during events for our own records, promotion, and marketing, including on social media and our website. If you or your child do not wish to appear, please tell a member of staff before or during the session and we will take reasonable steps to accommodate this.
- You may take photographs and video for personal, non-commercial use only. To protect other children, please be considerate of other visitors and do not photograph or film other people’s children without their accompanying adult’s consent. Please avoid capturing others in busy areas.
- Commercial filming or photography, and use of professional or third-party photographers, requires our prior written permission.
14. Complaints
- If something is not right during your visit, please tell a member of staff straight away so we can try to put it right at the time.
- If you wish to make a formal complaint afterwards, please contact us at explorazone@stemex.uk or 01603 512576 with your booking reference and details. We aim to acknowledge complaints within 5 working days and to respond fully within a reasonable time.
15. Privacy and data protection
- We handle personal data in line with the UK GDPR and the Data Protection Act 2018. We use the information you give us to manage bookings, payments, safety, safeguarding, and, where you have agreed, to send you marketing. You can withdraw marketing consent at any time.
- We retain personal data only for as long as necessary for these purposes and to meet our legal obligations, normally up to 6 years. Full details of how we use your data, and your rights, are set out in our privacy policy on explorazone.co.uk.
16. Force majeure
- We are not liable for any failure or delay in performing our obligations where this is caused by events outside our reasonable control, including fire, flood, severe weather, power or utility failure, epidemic or pandemic, government restrictions, industrial action, or the acts of third parties. Where such an event affects your booking, clause 7 (cancellations and refunds) applies.
17. Changes to these terms, general, and governing law
- We may update these terms from time to time. The version published on explorazone.co.uk or displayed at the venue at the time of your booking or visit is the version that applies to that booking or visit.
- If any part of these terms is found to be unlawful or unenforceable, that part will be severed and the remaining parts will continue to apply.
- A delay by us in enforcing any term is not a waiver of our right to enforce it later. We may transfer our rights and obligations under these terms to another organisation; this will not affect your rights.
- These terms, and any dispute or claim arising out of or in connection with them, are governed by the laws of England and Wales, and are subject to the exclusive jurisdiction of the courts of England and Wales.
